Frequently asked questions

How long does a website take to produce?

Building a website can take up to 12 weeks, but often this has been completed sooner.

We have found that squat practice sites take longer than usual because the information and discovery take longer to collect.

Please outline the stages involved in producing a website

The main elements of the process are as follows:
1. Data collection
2. Content
3. Homepage design
4. Approval of homepage design
5. Coding of homepage
6. Design of internal pages
7. Coding of internal pages
8. Placement of content
9. Approval and tweaks
10. Going Live

Will the site work on mobiles?

Yes! Our websites are fully mobile responsive and work across smartphones and tablets as well as desktop computers.

Who owns the website?

You own the website!
Sites are coded using PHP / HTML and not reliant on any proprietary system. We offer full transparency and portability!

If I decide to switch to a different company, can I take all the material with me?

Sites are coded using PHP / HTML and not reliant on any proprietary system. We offer full transparency and portability!

Is it possible to redirect the existing traffic from the current website to the new one?

Of course, this is an important process and we take good care to ensure all the old pages link to new ones.

Once the website is completed and handed over, how can I make minor amendments / updates?

Most website updates relate to what is happening in your business i.e. fees / team members / treatments. You can update this yourself through the content management system. CMS is very easy and training will be provided for the same. Failing that, we will be happy to support you, if you wanted us to jump in and update a batch of smile gallery cases for example, you would simply complete this form and our web team will action the updates asap. We would charge £35 per half an hour on a pay as you go basis.

How do I ensure the website remains backed up?

With our website hosting, you have a few days incremental website backup in the cloud, so we could roll back the site to an earlier version should there be a disaster recovery situation (rare!)

Is it possible to generate reports (example how many people visited the website, on what day / hour, from which location, etc)?

Yes! You will be able to see this data using Google Analytics which we will install on your website.

Can we lock photographs, so people cannot copy / misappropriate photos?

There is code we can add that disables right clicking. However, if someone really wants to bypass that, they can. This also doesn’t prevent someone from taking a screenshot. Hence I would advise you to watermark all your portfolio images, which we can help by providing you a photoshop template.

What are booking systems?

Is there a contract I can look at before I sign up with your company?

We like to keep things super simple, so the contract is comprised of what is in our quote for the work we do. The terms are 50% payment on start of the project and 50% on completion of the website or if you put the project on hold for 2 weeks or longer.
If you want to see our ‘standard’ terms of business they are found here:

Who writes the content?

This content is written by a professional writer who has experience in writing content for dental practices.

If we opt for the cheaper option that doesn’t includes access to copyright content, then how do you provide content to build up website pages?

The content would need to be supplied to us from yourselves (ouch)!

What is a content management system (CMS)?

A content management system enables you to manage the content on the website yourself without incurring any cost or waiting time. Training will be provided.
With Option 1 we custom integrate a WordPress backend management system to allow you to control the content on the website. Option 2 has no backend system – hence the reduced cost for those keen on budget.

Would I have full access to update prices, treatments, news etc. with the content management system?

The website package that includes a content management system, there you will be able to manage the content on the website yourself without incurring any cost or waiting time. Training will be provided.
Website updates you would want us to make (example sometimes a client asks us to make adhoc website updates such as smile gallery cases), this can be communicated to us using the form on – we would charge £35 per half hour for updates, on a pay as you go basis.
In short, there are no ongoing management contracts – as we enable you to manage your site, and you can always lean back on us without any financial commitment.

What would be the benefits of the content management system? Is it easy to use?

Anyone that can use email, can use this content management system. It is easy to use, and we train your team through a screen-share session on how to maintain the website. It is our most popular option, because it brings immediacy of review to your site and allows you to keep your digital identity up to date, as frequently as you like. The system also allows your team to blog – without any dependency on us as your web team. Furthermore, implementation of the system would mean you would have no maintenance costs for basic website updates. I would highly recommend it.

Does the CMS slow the system down?

A CMS could ever so slightly slow a site down by a fraction of a second. Most new sites that you probably visit have a CMS (even sites like Google) so speed isn’t a consideration. There should be more websites with CMS’s than without in recent times.

Is there the option of having access to copyright content and paying for this but not the CMS?

Yes, this could be arranged. The extra £1250 you pay goes solely into our costs of development of a bespoke CMS as well as the copywriter. We pay the copywriter £550, and £700 is used to fund the CMS. If you chose to go for option 2 at £3750 – you could pay the extra for the copywriter only. Note you can use any copywriter you like and provide us the content – we use our writers purely because we know they by now understand what patients, and the likes of GDC want / don’t want.

Is SEO included in the website design quote? /
Is there some SEO in place with the initial website that you create?

The website is ‘search engine friendly’ – what this means is that Google can easily ‘crawl’ your site, and read your content in a manner that helps your listing in the Google index. What this will not do is automatically rank you higher in Google.

What do you think would be the best number of keywords to do?

If you are conducting SEO for the first time, then the 15-keyword package is the best starting point in terms of value, and speed of results.

Can you please elaborate on what the one off £495 setup for SEO involves?

When we start an SEO project, one of the first things we do together is decide on the keywords you wish to target. If one of the keywords/phrases are ‘Dentist in Pinner’ then there are a series of technical and content updates we need to make on the website to make the website more attractive to Google for your chosen keywords. It’s not unusual for us to have a-20-page-update-document to work through. This setup cost is to cover the time involved in getting you started with the SEO process. This is a one-off cost.

Do you design logos?

Yes of course, we can help with this. The branding process is £1250 with the website (usually £1750).

Can you help with the practice name?

Yes, we can help provide suggestions for names for your practice. Our approach is picking a name that would ‘SEO friendly’ – this means Google can index your site well and the site is reasonably optimised for your area.
For example, a dentist in Haringey approached us and we recommended the name ‘The Haringey Dentist’, as those would be the exact words that are most likely to be typed into Google by a new patient in that area.

Do you provide the pictures?

Website images from a very good stock library are included in the package. Pictures of your practice are not something we offer as a company, but we have built a really good guide for any photographer of your choosing to follow. Most photographers will charge £250-£350 for an afternoon.
We also have a 3D tour company that can produce a really nice virtual walkthrough of your refurbished practices for circa £150 for Digimax clients.

Do you have a professional photographer you would recommend for my photographs?

You can ask Nicola [email protected] (please do your own check on her work) or contact any photographer you feel has a good portfolio and ask them to follow this guide:

Photographing your dental practice

Do you provide videos?

We have a database of videos and you would get access to those videos with either package. We don’t have many videos at the moment, but as and when we create videos you would get access to them at no cost for life.

Do you suggest a running video in the background for our practice site?

Absolutely! Have a look at a new website we launched recently: – if you have a videographer, then we would LOVE to incorporate a video on your homepage and we can advise the best way to do this once we start.

Can you please share on-going costs for the site such as Social Media / Adwords / Blog?

Social Media: Two options are
1) Daily postings are half price at £150 per month with a 15 keywords or higher SEO plan.
2) For campaign led social media, we charge £250 per campaign for web design clients (otherwise £500) which includes the one off campaign setup. On top of this you would pay Facebook for the amount you wish to spend on promotions, so this could be as little as £100-£150 a month.
Example, if you wanted to promote Invisalign, we would design a campaign, set a targeting and then pay Facebook for that promotion.

Adwords: Google Adwords is a choice, its entirely up to you if you wish to continue your marketing spend. PPC is something we don’t offer in-house. You could keep your PPC with your current provider, or we could suggest someone we work with. They will do a free audit for you and suggest spends.

Blog: Shaz to answer

What is the difference between PPC and SEO?

PPC is more short term, and SEO is long term.
Our SEO service is measured only by increase in rankings. This doesn’t allow you to see how many patients came through SEO. With services such as PPC and Social Media, you can track bums on seats better.
With a low monthly budget, PPC would be the most ideal for you.
We do not offer PPC inhouse, only Organic SEO.

Should we opt for SEO as well as Social Media plans?

I would suggest not relying on one source of traffic alone – SEO whilst it’s good, it isn’t enough to get patients. Social Media / PPC / Email Marketing / Leaflets / PR all play a big part in practice growth. Google Reviews are a huge help too.

Can you also host email addresses?

We can help you get setup on GSuite for email addresses. These are best hosted by a well-known provider, as it brings you the security you need to be compliant as well as offers exceptional spam filtering. (£3.30 per email address per month is charged by Google directly to you).

Do you use any templates?

All our websites are fully bespoke, using technology that is easily portable in the future. We never ever use templates.

Do you provide referral forms, business cards, letterheads, appointment cards and/or posters?

Yes and we can tweak your package to include the above.

Do you have a templated consent form that I can use to obtain permission from patients about using their photos on the website?

Sorry, we don’t. You could Google ‘Model Release Form’ and see if it is applicable, or any practice you work at may be able to help.

What is the maintenance cost?

We pride ourselves on ZERO running costs. The system we give you allows you to maintain the website yourself without incurring any running costs. If you have improvements that you want to make to the site that you choose not to do through the content management system we provide, you could get these done on a pay-as-you-go basis.

What are the ongoing charges?

The only cost that is fixed is the annual website hosting which is £135 + vat per annum, other than that there are no costs or ‘hidden surprises’ in the web build.

Please confirm the annual cost for website hosting.

Website hosting is free for the first year, then £135 + vat per annum thereafter.
(We can host the website for you, or you can use your own hosting).

Please confirm the annual cost for email hosting.

If you use Google Apps then it is £3.75 per email address per month paid directly to Google or if you want Microsoft 365 it is approx £8 a month. We have partners that can help you with both.

What you would charge to make minor amendments to my existing website?

Unfortunately, amendment is not a service we offer if the site was not designed by us.

Are the SEO prices excluding VAT?

Yes, though we can remove the VAT on these prices for you (SEO must be started before 2019 to avail this offer).

What would the monthly running costs for SEO and Social Media?

For SEO and social media we have a number of plans starting from as little as £450 per month and may be worth as they all have advantages, and details to consider about expected return.
